Eligibility and terms

Staff at St. Vincent's Hospital, Melbourne are eligible to register to borrow from the Carl de Gruchy Library. Staff from affiliated research institutions are also eligible to register to borrow.

Students on placement at the hospital are also eligible to register to borrow, providing they are onsite for a minimum of four weeks from the time of borrowing. A $10 refundable cash deposit is required at registration.


Register to become a borrower by filling out the registration form and sending to or print it and hand it to a Librarian at the Library's counter. Proof of staff or student status is required.

Loans, Renewals, Returns & Fines

You need to register as a Library user before you can borrow.
Most books can be borrowed for four weeks and then renewed twice as long as they are not reserved and all fines are paid. Books marked "2 week loan" or "overnight" have shorter loan periods and their loan cannot be renewed. Any items you intend to borrow need to be checked out by a Librarian at the Library's counter.

Renew a loan of a book to extend its loan period before it becomes overdue by:

  • contacting the Library on OR
  • going to your account and logging in using the barcode issued to you by the Library as your username and the password you have associated with it. Select the loans you want to renew and click on the "Renew" button. Note the new due date.

Return chutes are located inside the Library and externally in the passage between the Clinical Sciences Building and the Clinical School. If using the external chute please make sure all your returns are pushed as far as possible in the chute.

Overdue fines accrue at $1 per item per day. If fines reach $10 borrowing privileges will be withdrawn until outstanding fines are reduced to $5 or less. Borrowers who do not return a loan more than 30 days past the loan's due date will be invoiced the replacement cost of the item plus an administration fee. Borrowers with overdue items are strongly encouraged to contact the Library.
